Location: Toronto, Ontario

Reports to: Chief Operations Officer

Hiring Range: $48,000 to $50,000, including a benefits plan, pension plan, 15 paid vacation days in your first year, increasing to 20 paid vacation days in your second year of employment and professional development opportunities 

Community Food Centres Canada (CFCC) is a national non-profit organization that builds health, belonging and social justice in low-income communities across Canada through the power of food. We provide ideas, resources and a proven approach to partner organizations so they can establish responsive, financially stable Community Food Centres that support people to grow, cook, share, and advocate for good food for all. CFCC is growing to support its ambition to develop community food centres in 20 communities across Canada, innovate new approaches to addressing food insecurity and advocate for positive change for low-income communities.

CFCC is seeking an Office and Admin Assistant to assist the Operations team in ensuring efficient CFCC administrative operations.

Responsibilities

Office Coordination

  • Provide administrative support to ensure efficient operation in the office

  • Reception duties, including welcoming guests, answering phone calls, general emails,  and forward messages to the appropriate person when necessary.

  • Sort and distribute mail 

  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies and placing orders for supplies in a timely manner

  • Scheduling office services (eg. cleaner) and submit invoices

  • Ensures operation of office equipment by completing preventive maintenance requirements and calling for repairs

  • Address office and building related inquiries

  • Update the Office Operations Manual and other office-related documents

  • Work with HR to create and maintain office policies and procedures as necessary

Administrative support for Operations department

  • Provide administrative support to the Operations department (HR, Finance, IT and general admin) which includes data entry, document scanning,  printing and photocopying

  • Organize and schedule organizational wide meetings and events

Executive support

  • Manage and submit expense reports

  • Assist with scheduling some meetings

  • Coordinate domestic and international travel, including flight, hotel, and car rental reservations

  • Provide other administrative executive support when needed

Qualifications and Experience

  • At least two years of office-related/administrative experience

  • Knowledge of office-related responsibilities, systems and procedures

  • Proven ability to handle confidential and sensitive information with high discretion

  • Excellent time management skills including ability to multitask and prioritise work

  • Strong attention to detail and organizational skills

  • Excellent written and verbal communication skills

  • Ability to collaborate and communicate professionally with others

  • Proactive in solving problems and takes initiative to implement solutions

  • Strong computer skills and proficient in Google Suite and MS Office (Word, Excel and Adobe Acrobat) 

  • A background or interest in social justice movements and or passionate about creating an equitable and inclusive Canada
