About this position

General Accountability

  • Provides support and assistance to the MaRS Centre leasing team in the timely execution of lease and license activities, including preparation and distribution of related documentation and reports and management of prospect pipeline.
  • Key Job Responsibilities
  • Manage the flow of all lease-related documents up to the point of execution, prepare various lease supporting forms for management approval; distribute within Real Estate and Finance teams as required, set up in electronic and hard file.  
  • Prepare lease documentation, including Offers to Lease, Leases, Amendments, and Licenses. Monitor critical dates such as expiry dates, options to renew, options to terminate, etc.  Liaise with legal counsel as required. 
  • Maintain lease-related documentation templates, coordinate updates as required in conjunction with leasing team.  
  • Prepare Rent Roll Change Forms for management approval with each Lease/License document, submit to Lease Administrator.
  • Prepare monthly Stacking Plan, ensure it is current at all times, distribute as required.
  • Ensure tenant and suite information is up to date in relevant databases and electronic systems, including SpaceDatabase.   Ensure Tenant Services team is notified of any suite changes affecting Angus Anywhere. 
  • Prepare reporting package to support multiple stakeholder requirements, including occupancy and lease activity reports, analytics and metrics.
  • Liaise with the Tenant Services team on the onboarding of new tenants, supporting a smooth transition from space prospect to MaRS Centre ecosystem member.
  • Coordinate any marketing material requirements, including MaRS website leasing information updates.
  • Perform administrative and other duties to assist the Leasing team as required. 
Educational/Technical Requirements 
  • Graduate of a relevant post secondary certification program
  • 3 to 5 years of relevant property/lease administration experience
  • Strong working knowledge of Windows Office Suite (Word, Excel, PowerPoint, project planner, Outlook) in an Apple environment
  • Experience with MRI software an asset.

  • Well-developed internet, database and email skills
  • Strong written and editorial skills

Working Conditions
General office environment with operating hours of 8:30am to 5pm Monday to Friday.
