Role Description

Reporting to the Manager, Research and CALS, the Research Coordinator will support the Research team to engage with stakeholders in the ALS community including clients, families and researchers, ALS clinics, ALS Health Care Providers, and representatives from the ALS Societies across Canada regarding Research updates within the ALS Community. They will be responsible for the logical execution of the Research Forum, National Granting Program and travel and meeting logistics for the Research team.

Responsibilities

Knowledge Translation:

  • Collect and track all national and international papers written on ALS
  • Monitor and respond to the research phone line and email inbox as required

Research Forum:

  • Execute all logistics surrounding ALS Canada’s annual 4-day Research Forum; including but not limited to: coordination of catering, hotel room booking, event space, bus trips and vender bookings and also event day set up/ tear down
  • Coordinate the invitations for the event and collect RSVP responses, tracking any dietary restrictions or additional request
  • Main contact for all invitees for the conference- send out agenda and save the date prior to, as well as wrap up and action items
  • Source vendors and order gifts/ swag for all attendees of training
  • Coordinate supply packing leading up to and after events: sorting and dividing supplies, lifting and loading products
  • Main contact with event space and venders during the event; supports event day trouble shooting as required
  • Track costs and complete expense claims as required
  • Attend all four days of the research forum to act as an ambassador on behalf of ALS Canada

National Research Granting Program:

  • Collect and track all grant applications
  • Coordinate phone call teleconferences for selection committees (including providing IT support during the calls, sending out the agenda and meeting materials and logistics)
  • Coordinate all logistics surrounding in person grant selection meetings: including providing panel with travel information, day of logistics, hotel bookings, meeting materials and day of logistics
  • Collect and code all related invoices and work with Finance team to complete expense claims and distribute grants
  • Maintain grant distribution schedule
  • Act as the primary contact between grant applicants and ALS Canada, answer inquires regarding grant application process as required

Misc.

  • Attend Scientific and Medical Advisory Council meetings, take and distributes minutes and meeting material
  • Book travel for VP, Research and Manager, Research and CALS including air travel, hotel booking etc.
  • Complete and code expense claims as required
  • Attend ALS Canada events as an ambassador of the organization
  • Other duties as assigned

Qualifications

  • Successful completion of a bachelor’s degree in science
  • College degree or equivalent post-secondary education - diploma in office administration, event coordination an asset
  • Minimum of 2 years of previous work experience in office administration, event coordinator or a related field required
  • Previous experience working at a not for profit or health charity or working with individuals with a terminal disease an asset
  • Previous focus on ALS, an understanding of the disease and the state of the field an asset
  • Exceptional organization, verbal and written communication, and interpersonal skills are essential
  • Detail oriented and good editing skills
  • Inherent demonstration of ALS Canada core values: accountability, collaboration, compassion, integrity, resiliency, respect
  • Must be able to take initiative and respond effectively to directed tasks
  • Ability to work some evenings and weekends and possibly some travel (nationally)
  • Strong computing skills in basic word processing, spreadsheet and presentation software
  • Quick learner

Preferred

  • Proficiency with Adobe Acrobat, Photoshop, and Illustrator preferred
  • Driver’s licence an asset
  • French/English bilingualism an asset
