LOCATION: Hartsdale & McNicoll sites (Etobicoke and North York, ON)

POSITION TYPE: Full-time Regular (37.5 hours/week)

Lumenus Autism Fee for Service (FFS) program opened its doors in April 2022. We offer ABA-based behavioural services that are designed to address the unique needs of our children aged 2-11 years. We are a one stop-shop for families looking to access caring, coordinated & convenient autism services at our beautiful Hartsdale and McNicoll locations in Toronto. Enrollment for our summer programs are currently open for Fall & Winter 2022! We offer 3 convenient programs this summer: individualized; communication & social skills group-based; and skill for life programs at both locations. Lumenus Autism FFS is looking for a Service Program Coordinator. Reporting to the Service Program Manager of Autism Services, the Service Program Coordinator will be a key member of our Autism Services Team, coordinating specifically the Fee for Service stream of Autism Services at Lumenus. This business-oriented role will be responsible for the coordination of marketing, intake, operations, customer relations and employees of the Autism Fee for Service Program. The position will be based at both 65 Hartsdale Drive and 155 McNicoll Avenue.

KEY RESPONSIBILITIES: 

  • Supports the Service Program Manager and the Managing Director with various aspects of Autism Services Fee for Services offerings such as planning, tracking, monitoring, documenting and reporting
  • Supports marketing planning, development and executing on intake targets for Fee for Service division. 
  • Coordinates and develops processes for intake assessments virtual and in-person with clients and clinical teams 
  • Assist with coordinating training sessions for program staff on Fee for Service offerings, policies, procedures and systems
  • Liaising with clinical teams to coordinate Fee for Service details and information
  • Assist Fee for Service Manager with competitive analysis and pricing strategy development by identifying trends and assessing opportunities to improve processes and execution
  • Assist by coordinating customer-facing operations including accounts and payments, customer relation engagement and experience
  • Coordinate the collection of data to develop Fee for Service reports and analyse results in collaboration with the Organizational Excellence Department
  • Assists the Service Program Manager by coordinating the implementation of Fee for Service policies, processes, systems and tools to support the Autism Fee for Service offerings
  • Coordinates and schedules major program activities required for Fee for Service such as staff training, consultations and documentation
  • Maintains timely communications with all team members and stakeholders as needed
  • Organizes program meetings to include appropriate team members or stakeholders including preparation of agendas, action items and status updates

QUALIFICATIONS/EXPERIENCE:

  • Bachelor degree or equivalent work experience
  • Some clinical or healthcare knowledge, understanding of Autism Spectrum Disorder and the unique support requirements for families and of individuals with this diagnosis
  • Previous experience coordinating marketing & program activities
  • Well-developed skills and experience with Microsoft Office products (e.g. Word, Excel, Visio, Project and PowerPoint) and Microsoft 365 products (e.g. Teams, Tasks, and Planner, SharePoint, Lists)
  • A background in customer service or sales would be an asset
  • Understand customer relationship management (CRM) software or similar is considered an asset
  • Well-developed analytical, problem solving, organizational, administrative and multi- tasking skills
  • Strong written and oral communication skills
  • Attention to detail
  • Ability to work independently and within a diverse team environment
  • Conflict management skills and ability to mitigate divergent positions to reach consensus

Additional Requirements:

  • Satisfactory clearance under the Vulnerable Sector Screening process
  • Ability to hold a flexible work schedule; evening and weekend work as required
  • Ability to commute to various sites and/or across the city as required
