Position Summary: The Training Application Coordinator provides clients with information on training programs (e.g. Second Career, LBS, provincial & federal training initiatives, etc.), conducts quality eligibility and suitability assessments, assists clients in completing training applications, makes recommendations to the Ministry as to a client’s eligibility, and provides support for retention beyond follow-up reporting.

The Training Application Coordinator supports the Manager, Employment and Training Services and a team of Employment Specialists and is responsible for completing all Second Career applications across 5 locations in Toronto.  The Training Application Coordinator identifies training programs to address training needs of clients,

partners with external stakeholders regarding client training needs and organizes/ sources training programs to meet specific needs of clients.

The successful candidate also works directly with job seekers to secure employment opportunities/ placements in jobs that meet their career objectives.

Responsibilities (include but are not limited to):

Training Assessment and Application Support:

  • Facilitates information sessions to provide information and details about training/education programs and opportunities and their application processes
  • Provides clients with guidance and resources on clarifying their training and employment goals  
  • Conducts employment needs assessment process and develop mutually agreed upon Employment Service Plans with individuals
  • Completes the Second Career Eligibility and Suitability Assessment Template for eligible and suitable applicants in EOIS-CaMS, according to the Second Career Guidelines
  • Assists clients to complete various documentation required for the training application package
  • Authors thorough and convincing rationales for training in keeping with the documentation requirement specified by the funder
  • Ensures application packages are complete, organized and error-free, maintains electronic filing system for reference and file audit
  • Tracks the status of all Second Career applications, maintains an approval rate of 90% or higher (for supported applications)
  • Stays up to date with the local labour market information and ensures that an adequate amount of research is done to support each application
  • Handles all funder inquiries regarding training applications, coordinates amendments to training plans when necessary
  • Addresses customer issues with professionalism and diplomacy, maintains a positive relationship with clients, funders, and other stakeholders
  • Keeps up to date on changes to training guidelines and application procedures

Client Needs Assessment, Job Search Support and Retention

  • Assesses job seekers, determines specific individual needs, identifies job goals, develops action plans, and supports job seekers in overcoming identified barriers to employment
  • Case manages’, coaches, and motivates participants during their job search
  • Supports job retention by monitoring client progress during employment and through 12 months post closure
  • Demonstrates a good understanding of the positions that participants are applying for and clarifies questions participants may have
  • Plans and participates in community events concerning employment, education, and career development
  • Provides orientation to workplace, life skills coaching and support for disclosure of a disability
  • Conducts workshops to instruct participants on effective job search strategies (cold calling, job posting analysis, salary negotiation, etc.)

Job Matching and Placement

  • Places job seekers into full-time employment through advertised and non-advertised job leads
  • Negotiates and administers placement agreements and employer incentives (wage subsidy, on-the-job training) and monitors training plan ensuring expectations of placement are met
  • Ensures quality of placements by appropriately matching candidates’ skills with the job requirements
  • Conducts required employer site visits, ensuring workplace health and safety policies are in place
  • Supports employer and placed job seeker with any arising retention issues
  • Provides employer with suitable candidates for the role, works with employer to carve out roles from existing job descriptions based on needs and skills requirements of job seeker and employer
  • Makes resources available in print and/or online form on topics such as workplace health & safety and Employment Standards Act.

Program Marketing and Outreach  

  • Plans, executes, and continuously monitors an effective outreach plan targeting appropriate clientele
  • Assists in implementing effective program marketing strategies in the community
  • Recruits clients and ensures that the required number access services
  • Maintains organized documentation (including a database) of contacted community organizations
  • Participates in community events, job fairs and related activities to inform job seekers of The Career Foundation and to recruit them for the program
  • Facilitates client referrals by building relationships with community partners and organizations in the area, such as libraries, community centers and Toronto Community Housing.

Workforce Development, Employer Outreach & Relationship Building

  • Develops relationships with employers in a variety of industries
  • Assists employers to identify their workforce development needs and conducts site visits to ensure that employers can provide suitable and safe workplace environments
  • Assists employers to recruit employees/skilled labour by facilitating employment-related events, preparing job postings on employers behave, assisting with outreach process to attract suitable candidates, and posts positions on internal and other approved job boards

Other Duties as Required

  • Maintains flexibility to work evenings and weekends as needed
  • Participates in fundraising activities on behalf of The Career Foundation
  • Other duties as required

  • University Degree is required
  • Advanced written communication skills for writing rationales and other communications
  • Strong time management skills and ability to meet deadlines
  • Detail oriented – Motivated to go above and beyond for quality assurance
  • Customer service oriented with excellent interpersonal skills
  • Strong verbal communication skills to be able to explain processes and assessments to a diverse clientele effectively
  • Ability to handle client complaints and concerns effectively when clients do not qualify for funding
  • High level of patience and flexibility
  • Strong organizational skills, able to take initiative, manage change/transitions and multi-task
  • Knowledge of the current labour market trends, the impact of COVID-19 on the labour market, job search techniques and employment research methods
  • Knowledge on online communication platforms, techniques, and tools (e.g. Zoom and MS Teams and SharePoint) with an aptitude and willingness to learn and work with new technologies
  • Must possess strong research skills
  • Strong knowledge of community resources and supports for job seekers
  • Prior knowledge and understanding of the Second Career program is an asset
