Reporting to the Campaigns Manager, the Project Coordinator will support DE driven projects and will assist in delivering the Leave No Donor Behind (LNDB) initiative. The position is also responsible for developing and monitoring e-blast activity including, processes, ensuring quality content and timely delivery to our donors.

The position also supports the Director, Donor Engagement with the day-to-day coordination of donor engagement projects including; project briefs, project plans, requirements, schedules and implementation of projects that advance the donor engagement team’s commitment to deliver the LNDB initiative and other donor engagement activities.

Position accountabilities also include, primary liaison to technology to ensure donor engagement, and sponsorship reports are developed to specified standards and data is extracted as necessary. Produce or assist in the development and completion of donor engagement productivity and dashboard reporting to support daily and monthly departmental operations.  Provide technical support for process innovation including report requirements and UAT testing when necessary.

This role includes, but not limited to:

1. Campaign Support (40%)

  • Work closely with the manager in the execution of direct marketing campaigns.
  • Develops and manages project documentation and critical paths for direct marketing/e-blast campaigns.
  • Provides assistance with e-blast setups, testing and deployment.
  • Supports the DE team by reviewing data dumps, counts and live approvals for direct mail campaigns.
  • Assists in the development of staging links, rendering tests and subject line performance for email campaigns. 
  • Test digital materials (emails, landing pages, etc.) to ensure proper tracking, implementation, link functionality, copy and creative implementation.
  • Working collaboratively with the FD&C team, develops/ inputs into campaign calendars and performance summary documents in order to demonstrate campaign learnings.
  • Acts as the central stakeholder and contact for setups and deployment dumps and counts and live approvals on mail/email campaigns
  • Manage successful implementation, monitoring, and data integrity for the evaluation and analysis of all LNDB programs including, email, direct mail and others.
  • Perform analytical functions to support the decision-making processes and strategic direction of the DE team, includes monthly reporting, campaign analysis, extraction of relevant data as necessary and involvement in special projects to provide supporter-centric insight.
  • Subject matter expert for data base analytics.
  • Support the management and budget expenditures for external data supplier/vendors as required.
  • Provide assistance with donor relation projects particularly around development of technology enhancements, data requirements gathering and UAT testing. 
  • You will also be required to participate in cross-functional projects as allocated by your Manager or Director.  

2. Donor Engagement Coordination (40%)

  • Lead or support all DE driven projects that will assist in delivering the DE strategic plan.
  • Supports the DE campaign process by developing and implementing project briefs and data extract requests where necessary.
  • Working collaboratively with the LNDB team, assist with the development and maintenance of stewardship matrixes and maps.
  • Provide cross-functional support as required.
  • Provide subject matter expertise to the donor engagement team on, ongoing donor communications, campaign overviews and team expectations for support.
  • Be a champion for the donor engagement team, proving training, coaching and feedback to the team on day-to-day tasks ensuring best in class donor engagement and support.
  • Coordinate daily donor retention efforts including; e-blasts and social media efforts.
  • Support the DE team in achieving KPI and Quality Control standards set by manager.
  • Be a conduit for information sharing across the FD&C team to help mediate communication challenges and donor engagement overloading of scheduled efforts.
  • Assist with the development and implementation of new procedures and processes to improve productivity and donor engagement.

3. Other (20%)

  • Provide technical expertise and support to organization-wide initiatives, e.g. ensure considerations such as the need for consistency between the web and SMART database are understood by IT and Marketing.
  • Develop/review organizational documents such as; processes, training and procedures.
  • Participate in cross-functional projects which require additional support.
  • Other related duties as assigned.

The ideal candidate possesses:

  • Post-secondary diploma in related discipline or equivalent work experience;
  • 3 years’ project coordination experience with cross-functional and third party working groups;
  • Possess leadership skills; the ability to see the vision and translate it into action by inspiring and motivating other team members; able to coach team members empowering their day-to-day work lives and helping them thrive in continuous learning;
  • Business writing skills; demonstrated ability to create and edit correspondence;
  • Expertise in data mining and manipulation, extracting and importing and filtering from relational databases such as Oracle;
  • Demonstrated experience researching problems, resolving issues and communicating solutions;
  • Ability to prioritize and manage multiple tasks, meet deadlines and use logic and analysis to troubleshoot issues;
  • Computer skills –MS Word, Intermediate/advanced PowerPoint, Excel and Outlook;
  • Ability to quickly learn and apply new system procedures and databases as they are introduced;
  • Ability to work overtime and flexible daytime hours as required;

Location: The office is located at 1200 Denison Street, Markham, ON. Staff are currently working from home with some flexibility on in-office activity until further notice (due to Covid-19 related health precautions).
