OVERVIEW:

The Program Facilitator works on the Client Engagement team. This role reports to the Director of Client Engagement and will act as the facilitator to execute specific client facing programming. This role involves the facilitation of cohort-programming and workshops, monitoring inboxes, creating newsletters and e-shots, and keeping a pulse on the client experience within these programs. This role will work directly with clients, volunteers, and guest speakers within the Dress for Success Vancouver programs of Professional Women’s Groups (PWG), Ambassadors, and Workshops. 

The working days for this position are Tuesdays through Saturdays. It will require availability outside of traditional working hours which will be provided for with flexible daily start and end times.

This position entails both virtual (remote) and in-person facilitation. Dress for Success Vancouver has a formalized hybrid work model.

 

OBJECTIVE/PURPOSE

The Program Facilitator works as a part of the client engagement team to directly facilitate the experience our clients have throughout our various programs. As a direct report to the Director of Client Engagement, the Director of Client Engagement will delegate responsibilities of facilitating Professional Women’s Group meetings, Ambassador meetings, and workshops to the facilitator and the Program Facilitator will execute the program planning and strategizing done by the Client Engagement Director. 

This role requires high empathy, conflict resolution skills,  strong presentation skills and organized communication between several different client and volunteer groups and demands ongoing management of communication through all of these parties. 

Finally, the Program Facilitator is the first point of contact for clients and volunteers who work with Dress for Success Vancouver in Professional Women’s Groups, Ambassadors, and Workshops where they require feedback or other operational clarifications.

 

ROLES AND RESPONSIBLE

Tasks:

  • Daily monitoring of inboxes: PWG, Ambassadors, workshops

  • Updating PWG, Ambassador, and Workshop attendance metrics in Salesforce after all meetings and workshops.

  • Trouble-shooting technical issues that guest speakers, hosts, or attendees might have when interacting with our platforms (Mailchimp, Acuity, Zoom, Mighty Networks, etc)

  • Assisting the Director of Client Engagement with content planning on the Mighty Networks platform

Professional Women’s Group (PWG)

  • Sending out reminder emails to PWG cohorts

  • Facilitating PWG Meetings on Saturdays 

  • Updating the relevant groups on the Mighty Networks platform with meeting information

  • Assisting the Director of Client Engagement and PWG volunteers with new member and mentor intake (interviews, criminal record checks, schedule coordination, etc.)

  • Collecting feedback from PWG speakers after presentations

  • Editing meeting videos and uploading to Vimeo

Ambassadors

  • Sending out Ambassador workshop reminder emails 

  • Facilitating Ambassador meetings

  • Assisting the Director of Client Engagement and Ambassador volunteers with Ambassador mentor intake (interviews, criminal record checks, schedule coordination, etc.)

  • Collecting feedback from Ambassador speakers

  • Editing meeting videos and uploading to Vimeo

Workshops

  • Writing e-shots for upcoming workshops that take place at least twice per month

  • Updating the Mighty Networks community platform with workshop information 

  • Facilitating workshops

  • Monitoring workshop registrations and indicating which workshops have a low-subscription rate and require additional outgoing communication to our community.

  • Collecting feedback from workshop speakers

  • Editing meeting videos and uploading to Vimeo

Other

  • Actively advise the Director of Client Engagement on shaping the client experience in PWG, Ambassadors and Workshops programming.

  • Other duties as required

 

QUALIFICATIONS

  • Organized and detail-oriented

  • Proficient public speaker with experience giving presentations (facilitating meetings/workshops) to both small and large groups of people

  • High empathy 

  • Conflict resolution skills 

  • Highly collaborative 

  • Flexibility to lead meetings and workshops on weeknights and on Saturdays (during business hours)

  • Proficient with technology and able to troubleshoot technical issues

  • Willingness to learn 

  • Prior experience with G-suite, Zoom, Mailchimp, Salesforce and/or iMovie considered desirable
