Primary Function:  Support the Manager of Finance/Payroll through the day to day handling management of the following finance activities while ensuring all finance related activities are prepared in accordance with Generally Accepted Accounting Principles and Accounting Standards for Not-for Profit Organizations (ASNPO)

The goal of this position is to work closely with the Manager of Finance in the support of the finance function of the Agency by assisting in making sound business decisions to mitigate risk and meet the Agency’s strategic goals with accurate and timely activities and financial reporting in accordance with Generally Accepted Accounting Principles (GAAP).

Key Responsibilities:
 

  • Work closely with suppliers to ensure all invoices are received and properly approved and entered into Sage
  • Prepare vendor payment list for Manager’s approval prior to releasing payments.  Once approved, prepare the requested payments and send them to the vendors.
  • Prepare draft HST return for Manager’s review
  • Prepare bank reconciliations for all bank accounts for review and approval
  • Ensure all items are coded to the correct account/program
  • Reconcile and enter in all company credit cards, ensuring all receipts are received and coded correctly
  • Document and distribute gift cards, TTC tokens, petty cash, VOIP phone programs
  • Provide support with the annual budget planning cycles ensuring that the budget process includes timely consultation with relevant departments, including detailed personnel expenditures and program expenditures for the annual budget
  • Provide support to the annual audit, providing supporting lead sheets and responding to queries from the Auditors
  • Provide support to the Manager of Finance in the month and year end financial reporting processing by ensuring all entries are completed in a timely manner and account reconciliations are complete.  Provide feedback on any discrepancies
  • Assist in the processing of the bi-weekly Payroll and act as a backup for Payroll Manager
  • All monthly and yearly government remittances for payroll related expenditures
  • Provide support with statistical and financial analysis data and prepares reports and correspondence as requested
  • Provide support for new and existing programs e.g. budgets, forecasting for reporting as well as for Ad Hoc Reports
  • Balance sheet account reconciliations as requested, identifying changes and provide explanation and make recommendations for corrective action
  • Adhere to internal controls and finance policies and procedures, and make recommendations for improvements
  • Develop and maintain effective working relationships with staff, vendors and other department heads Support Agency events and fundraising activities
  • Other duties as required
Qualifications:
  • A CPA (Accountant) designation is preferred and/or other equivalent combination of education and demonstrated work experience with comparable duties
  • Minimum of 3 years of progressive and related finance and accounting experience in financial statement preparation and review, in a unionized environment for a not-for-profit
  • Advanced computer skills with a proficiency with Sage and Microsoft Office
  • Strong analytical and critical thinking skills
  • Excellent verbal and written communication skills
  • Must have the highest degree of integrity dealing with highly confidential information
  • Demonstrated ability to meet tight and competing deadliness with accuracy
  • Must have the ability to prioritize and manage multiple, concurrent requests
  • Must have the ability to work productively both independently and as a team membe
