JOB DESCRIPTION

TITLE:

Executive Director

 

SUPERVISOR:

President, Executive Committee and the Board of Directors

 

OBJECTIVE:

Provide for the successful leadership and management of the Humane Society of Kawartha Lakes (HSKL) and its team according to the strategic direction set by the Board of Directors

 

RESPONSIBILITIES:

Leadership:

  • Follow direction provided by the Board of Directors while remaining observant of the distinction between governance and operations

  • Be accountable to the Board of Directors, inclusive of attending its meetings

  • Work closely with the President and Executive Committee as needed to execute directives provided by the Board of Directors

  • Meet regularly with the President to obtain direction and keep the President thoroughly apprised of HSKL’s business

  • Work actively and continuously to implement HSKL’s vision and strategic plan and bring staff together accordingly

  • Act as a professional advisor to the Board of Directors on all aspects of HSKL’s business

  • Participate, in partnership with the Board of Directors, in the development of HSKL’s vision and strategic plan

  • Identify, assess and inform the Board of Directors of issues affecting HSKL

  • Support meetings of and inform decision-making by the Board of Directors

  • Foster effective teamwork between the Board of Directors and the Executive Director and between the Executive Director and staff

  • Jointly with the President, act as spokesperson for HSKL

  • Handle official correspondence on behalf of or jointly with the Board of Directions as appropriate

  • Represent HSKL at community events to enhance HSKL’s community profile

 

Operational Planning and Management:

  • Implement effectively and efficiently all policies and other directives provided by the Board of Directors

  • Develop operating plans and policies designed to achieve the goals and objectives identified in HSKL’s strategic plan

  • Ensure that HSKL’s operations are cost-effective and meet the expectations of clients, the community, members and the Board of Directors

  • Oversee the efficient and effective day-to-day operation of HSKL

  • Work with the Board of Directors and committees thereof to draft policies and prepare procedures to implement the policies

  • Annually review policies and recommend related revisions to the Board of Directors as appropriate

  • Maintain privacy and confidentiality and ensure that files on personnel, clients, donors and volunteers are securely managed and stored

 

Program Planning and Management:

  • Oversee the planning, implementation and evaluation of HSKL’s programs and services

  • Ensure that the programs and services offered by HSKL fulfill HSKL’s mission and reflect the priorities set by the Board of Directors

  • Monitor the day-to-day delivery of HSKL’s programs and services to ensure they meet high standards of quality

  • Identity needs for special and capital projects

  • Oversee the planning, implementation and evaluation of special and capital projects

  • Foster good relationships with local veterinarians

 

Personnel Planning and Management:

  • Determine staffing requirements and make staffing recommendations to the Board of Directors

  • Write staff job descriptions and ensure they are fulfilled by staff

  • Implement personnel policies, procedures and practices

  • Develop and maintain a positive, healthy and safe work environment in accordance with all appropriate legislation and regulations

  • Recruit, orient, train and retain staff with the abilities and skills needed to fulfill HSKL’s mission

  • Maintain an open and transparent workplace and the confidence of staff and volunteers

  • Implement a performance management program for all staff which includes ongoing monitoring of performance as well as annual performance reviews

  • Coach and mentor staff as appropriate to improve performance

  • Discipline staff as needed using appropriate techniques and progression

  • Terminate staff as needed using appropriate and legally defensible procedures

 

Public Relations and Marketing:

  • Develop and maintain productive relationships with corporate, governmental and other partners

  • Ensure fundraising efforts are revenue-effective and lead to HSKL’s financial success

  • Identify and pursue opportunities for enhancing public relations and marketing

  • Serve as the face of HSKL as seen by the community

  • Keep stakeholders informed of HSKL’s work and identify and address relevant changes in the community served by HSKL

  • Establish productive relationships and collaborative arrangements with community groups, politicians, the City of Kawartha Lakes, the OSPCA and other humane societies to advance the goals of HSKL

  • Leverage HSKL’s resources and profile to support Cats for Barns, Trap-Neuter-Return Management and similar such programs aimed at humanely controlling stray animal populations

  • Promote widely HSKL’s work, especially animal adoption

  • Support and associate with reputable animal welfare organizations such as OSPCA, Ontario Animal Welfare Group and Humane Canada

 

Financial Planning and Management:

  • Work with the Treasurer to prepare annual budgets and long-term financial plans

  • Secure adequate funding and participate in fundraising activities as appropriate

  • Apply for summer student funding

  • Monitor and approve revenues and expenditures within the authority delegated by the Board of Directors

  • Ensure that sound bookkeeping, accounting and transaction procedures and safeguards are followed

  • Manage funds according to annual budgets and monitor cash flows

  • Ensure compliance with all legislation relating to taxation, employment and all other financial matters

  • Keep the Treasurer and Board of Directors apprised through regular financial reporting

  • Participate in and support the annual audit

  • Ensure all transactions are appropriate and properly carried out and bring financial irregularities to the attention of the Board of Directors

 

Risk Management:

  • Identify, assess and mitigate risks to HSKL’s personnel, property, finances, goodwill and public image

  • Report all significant risk exposures to the Board of Directors

  • Ensure that HSKL carries appropriate and adequate insurance coverage, including that for directors and officers

 

QUALIFICATIONS:

  • Knowledge of and experience with leadership and management principles as they relate to non-profit and volunteer-supported organizations

  • Knowledge of all applicable legislation, including that relating to: animal welfare, employment and labour relations, human rights, occupational health and safety, charities and taxation

  • Knowledge of challenges and opportunities relating to the mission of HSKL

  • Knowledge of and experience with animal welfare work is an asset

  • Knowledge of and experience with the management of personnel, finances, facilities and projects

  • Proficiency in the use of computers and software typically used in a general office environment, including: Microsoft software such as Word, Excel, Outlook and Powerpoint, financial management software, internet browsers and email

  • Knowledge of and experience with website maintenance, social media and animal shelter software an asset

  • At least 5 years of progressive experience in management and leadership roles

  • Excellent interpersonal, customer service and public relations skills, such as approachability and visibility at both the organizational and community levels

  • Ability to respond to inquiries or complaints from customers, regulating agencies and members of the community

  • Ability to effectively present information, including use of diagrams, tables and charts

  • Knowledge of or ability to learn and interpret applicable statutes, regulations, ordinances and HSKL policies and procedures

  • Willingness to obtain training and attend seminars and functions as required by the Board of Directors

  • Excellent oral, written and computer-related skills

  • Ability to work productively with a variety of volunteers, staff, stakeholders and donors

  • Must be highly self-motivated and a visionary planner

  • Must be a team player

  • Must have genuine compassion for animals

  • Must be flexible to occasionally work weekends and evenings as needed and occasional unpaid overtime as needed

  • Must have and maintain a valid “G” driver’s licence for the Province of Ontario

  • Must provide a satisfactory criminal record check from a recognized police service in the Province of Ontario

  • Must not have allergies limiting or affecting exposure to animals

 

HOURS OF WORK AND SALARY:

  • Permanent full-time position at 40 hours per week, primarily weekdays

  • Salary of $75,000 to $85,000 based on qualifications and experience

  • Paid vacation entitlement and sick time based on experience
