Job Profile:

The Office Assistant will provide support to multiple programs and staff as well as act as the first point of contact for clients and the general public. This individual will ensure that any person coming into the office feels welcomed and that their information needs are met in a timely and efficient manner. This includes providing reception services during office hours, and responding to questions about CMHA and community services to callers and walk-ins.

The Office Assistant will provide ongoing administrative and clerical support, to include managing incoming/outgoing mail, managing the filing system, photocopying/faxing/scanning documents, organizing internal and external meetings, taking meeting minutes, and other duties as assigned. As a member of the CMHA administration team, the Office Assistant may be required to work in any of the CMHA office locations to provide reception duties and may be called upon to assist in agency-wide or program specific projects as determined by the Administration Manager.

In addition to compliance with all organizational policies and procedures, the incumbent is also expected to behave ethically, demonstrate competence in effective communication and team building, demonstrate effectiveness in working in a collaborative environment, and demonstrate confidence in decision-making and in building relationships.

Requirements:

Required:

  • High school diploma
  • Clerical and office management experience
  • High level of competency in computer applications, particularly Microsoft Office Suite
  • Excellent oral and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills
  • Ability to handle multiple tasks, manage own workload and meet deadlines with a strong attention to details
  • Ability to work effectively in a high performing team-based environment and willingness to learn
  • A satisfactory Police Check

Preferred:

  • Experience working in a mental health environment and /or social service environment is preferred
  • A second language (Cantonese, Farsi, Italian, Korean, Mandarin, Punjabi, Russian, Tamil, Urdu) reflecting the local community is an asset.
  • A valid Canadian driver’s license, a minimum $1,000,000 third party liability insurance and access to a reliable vehicle is preferred

This position reports to and is supervised by the Administration Manager.
