About the Role
This role supports the Finance, Admin, and HR teams at TREC and our clients. If you’re experienced working in a non-profit organization, or you’ve always wanted to work for one, and are organized, detail-oriented, tech savvy, proactive, and enjoy wearing multiple hats, the HR & Admin Coordinator role is for you. This role sits at the intersection of human resources, accounting and day-to-day business operations, helping ensure our people, processes, and systems run smoothly.
Key Responsibilities
HR
- Support the HR Manager with ongoing HR projects and initiatives including:
- Supprt team learning in HR and compliance policies
- HR Logistics:
- Cordinate performance management process: scheduling annual reviews and setting up check-in process
- Maintain accurate emplyee records and other HR documentation
- Supprt onboarding and offboarding processes for any staff
- Assist with benefits administratin, time tracking, and payroll coordination
- Support the recruitment process:
- Invite and schedule jb interviews
- Calculate, prepare and cordinate stipends
- HR Communications
- Assist with drafting surveys and circulating t the team
- Assist with HR dcuments: newsletter, employee handbook, policy development
- Track cmpletion of HR tasks with each manager/team member
Admin
- Team logistics
- Bok travel and accommodation for the team
- Recrd payment of travel and accommodation purchases
- Assist with boking events, contacting venues, reserving at restaurants
- Office Logistics
- Cllect and scan incoming mail (from the Toronto office)
- Make bank depsits
- Align ffice space to current team needs, support decluttering and maintain the usability f the space
- Support correspondence between employees and IT support provider
- Finance
- Assist with accounts payable, utilizing Float, SAP Concur, or internal payable requisition processes
- Act as a back-up for Finance Team members, taking on urgent tasks or processes as needed
- Support for preparing bookkeeping workbooks or entries or pulling reports as requested
- Perform other related duties and projects as assigned
Experience & Education
- 1-2 years’ experience in HR, recruiting, bookkeeping and office administration, including internships or volunteer capacity.
- College diploma in HR and/or administration, bookkeeping or equivalent.
- Proven experience in office administration: scheduling meetings, maintaining office cleanliness, circulating mail.
- Basic numeracy skills
Skills & Knowledge
- Proficient in MS 365
- Familiarity with HRIS and payroll platforms
- Knowledge of general office admin platforms
- Ability to pay attention to the details.
- Ability to be discrete and confidential when handling personal data, compensation info, and personnel issues.
- Strong emotional intelligence and ability to read team dynamics
- Ability to be calm under pressure and in difficult situations.
- Excellent time-management and organizational skills.
- Bonus:
- Experience with accunting software (Sage 50 in particular)
- Cmfort and proficiency in spreadsheet programs (MS Excel)
