CHOICE IN HEALTH CLINIC (CIHC) is a non-profit abortion clinic providing abortion services, STI testing, contraception, counselling and systems navigation to clients from across the GTA and beyond. We are currently seeking a Finance, Data, and Operations Assistant to join our team. 

FTE: 0.8 (30hrs per week) 

ACCOUNTABILITY: The Finance, Data, and Operations Assistant reports to the Executive Director.  

ABOUT CIHC: Driven by the desire to increase access and abolish shame, CIHC recognizes that abortion is not merely permissible under the law, but essential, important, positive, and powerful. We first opened our doors in 1988 and are now a licensed and fully funded, non-profit clinic with a community-based board of directors. We receive our funding from the Ontario Ministry of Health and Long-Term Care and we are regulated as an Out-of-Hospital Premises by the College of Physicians and Surgeons of Ontario. We are also a member of the National Abortion Federation (NAF) and adhere to their standards for abortion care.  

POSITION SUMMARY: Reporting to the Executive Director you will support the organization by ensuring that financial statements, accounting, bookkeeping, payroll, and audit requests are met accordingly. You will also support the Executive Director in developing forecasts and financial plans on a monthly and yearly basis with a particular focus on profit and loss statements. This role works closely with the Quality Advisor to collect clinical statistics and complete shadow OHIP billing. You will be responsible for the day-to-day non-clinical operations of the office such as supporting the Clinic Manager with scheduling, coordinating with vendors and ensuring all onsite equipment is serviced on a set schedule. 

ABOUT YOU: You are passionate about abortion access and reproductive justice. You have a well-rounded exposure to basic financial reporting and bookkeeping for non-profits, experience using accounting software, excellent computer literacy skills including Microsoft 365, you have experience in small office management, you embrace change, and excel in an environment where no two days are alike.  

ESSENTIAL FUNCTIONS: 

  • Maintain complete financial records for the clinic  

  • Reconcile bank and visa statements monthly 

  • Use NewViews accounting software to ensure accounting and bookkeeping needs are completed accordingly 

  • Prepare cheques for signatures and electronic payment stubs 

  • Reconcile birth control sales and uninsured payments 

  • Are comfortable using POS software, knowledge of Square an asset  

  • Calculate hours, wages, and payroll on a bi-weekly basis including remittance for taxes, CPP, EI etc 

  • Administer Staff Benefits 

  • Request, prepare, and send out R.O.E as required 

  • Prepare a monthly summary of service statistics 

  • Complete OHIP shadow billing for all eligible clients serviced and submit to MOH 

  • Monitor staff team credentialing  

  • Monitor equipment maintenance and ensure all equipment is kept on a review schedule 

  • Respond and provide support in emergency situations  

  • Be able to work at a desk on a computer for 7.5hours per day 

  • Be able to work primarily onsite at the clinic 

QUALIFICATIONS: 

  • A degree or diploma in business administration, accounting, bookkeeping, or related field 

  • A minimum of 3 years of accounting experience and considerable knowledge of accounting principles  

  • A minimum of 3 years in an Office Assistant or Office Manager role  

  • Experience and proficiency with New Views or experience with similar software.  

  • Excellent working knowledge of Microsoft Office 365 products 

  • Experience with OHIP billing an asset

  • Commitment to working within an anti-oppression framework and with clients from a diversity of backgrounds, experiences, and social locations; 

  • Demonstrated success with collaborative teamwork that reinforces positive staff and client experience; 

  • Excellent communication and interpersonal skills; 

  • Specialized knowledge of accessibility issues and AODA an asset; and
