Introduction:

The Program Administrator contributes to the success of programming projects across Evergreen Brick Works (EBW).  A multi-tasker, with insight into multiple projects at any given time, the Program Administrator is an enthusiastic team-player who will support the administration and delivery of Evergreen’s on-site programs.  To achieve these goals, the Program Administrator will work with others to provide excellent administrative support and great customer service. 

This is a great role for someone who loves connecting with people and nature, and who is excited to engage in the diverse range of activities that happen on site at EBW every day.   The Program Administrator works across the Programming and Facilities teams, and the organization as a whole, to help maintain program excellence and achieve maximum mission impact.

About the Role: 

The Program Administrator provides support for operational and administrative aspects of Programming at EBW, including supporting Visitor Experience initiatives. They will provide the highest degree of client service to customers and community partners, and work collaboratively across the Evergreen team.

Key Responsibilities:

  • Provide administrative support to key projects, including supporting registrations and space bookings;
  • Support Welcome Desk operations and act as a key point-of-contact for general inquiries;
  • Provide information and professional customer service to the public and clients;
  • Support the creation of maintenance of site activity calendar;
  • Support stewardship and volunteer opportunities;
  • Help coordinate visitor tracking, as well as other activity tracking and evaluation systems for the site;
  • Provide administrative support as needed to Program Managers, and other staff as assigned;
  • Provide administrative support to teams preparing funder proposals, reports and events;
  • Analyze participant surveys and evaluations, helping to incorporate feedback into future program planning;
  • Contribute to positive workplace culture and great internal communication; and
  • Model Evergreen’s core values of sustainability, innovation and connection.

About You:

You have the following qualifications:

  • Minimum 1-3 years of relevant administrative, customer service
  • Ability to take initiative, to take direction, and to work independently
  • Proven ability to manage competing priorities with tight deadlines
  • Experience working with Microsoft Office programs, including proficiently with Teams and SharePoint
  • Experience with Databases such as Caterease or other equivalents, an asset
  • This position is funded by Canada Summer Jobs (CSJ), which requires candidates be between 15 and 30 years of age at the start of the employment. Meeting these criteria is considered an asset.

  • Supervised by: Program Manager 

Working Conditions:

  • Position is based out of Evergreen’s head office at Evergreen Brick Works in Toronto, and requires on-site presence with some remote work a possibility
  • Regular office hours (flexible), with some evening and weekends as required

Contract:

  • Full-time, contract (8 weeks); flexible start
  • Hourly Rate: $18.00
