JOB SUMMARY

Reporting to the Manager, Donor Relations, the Coordinator, Donor Relations provides administrative, research and relationship management support to the Resource Development’s Major Gifts portfolios that includes individuals, corporations and foundations and occasionally Community Giving.

This position will provide the highest level of solicitation and stewardship support by coordinating the Resource Development team’s activities, supporting the facilitation of donations from major gifts prospects and donors through the fundraising cycle of identification, research, cultivation, solicitation and stewardship activities. A key part of this role is managing the data in Salesforce for all fundraising campaigns in the Major Gift portfolio.

WORKING RELATIONSHIPS

Reporting to the Manager, Donor Relations, the Coordinator, Donor Relations works closely with the Resource Development (RD), Marketing and Communications (Marcomm), IT and Finance teams. This position also works across all RHF business units on initiatives that support the acquisition, cultivation and retention of community and major gift donors and liaises with external partners to provide donor solicitation and stewardship support.

KEY ACCOUNTABILITIES

Administrative Support
  • Ensures adherence to RHF stewardship policies, including the donor stewardship matrix, the donor recognition policy, impact report guidelines and gift agreements.
  • Drafts and edits correspondence and communications such as confidential profiles, briefing notes, letters and emails.
  • Manages annual stewardship mailings, such as the annual report, holiday cards, and all other relevant stewardship mailings. 
  • Prepares online funding applications to corporate and foundation prospects. Also prepares Marcomm briefs for proposals, stewardship reports, pledge reminders, supporting materials for donor/prospect visits, events and solicitations, and reviews and edits all materials before final approval from the Manager, Donor Relations.
  • Supports RD team in management and reporting tracking and systems, preparing bi-weekly prospect pipeline and proposal progress reports.
  • Supports the moves management system, assisting Community Giving and Major Gifts team members in ensuring they complete their required stewardship work on schedule, tracks overall progress of donor identification, cultivation, solicitation and stewardship activities and flags issues and concerns for the team for resolution.
  • Maintains proposals and stewardship calendars, prepares agendas, takes minutes and oversees meeting logistics for all team meetings and donor/prospect meetings where appropriate.
  • Supports the Major Gifts team in recruitment, engagement and call activities of non-RD team solicitors and relationship managers such as Executive Team, Board and Campaign Cabinet members.
  • Prepares agenda and tracking documents, and keeps all tracking documents up-to-date, for RD and Programs meetings and any other required meetings.
Data Management
  • Provides accurate and complete coding instructions to Finance and Community Giving team for all incoming major gifts.
  • Coordinates constituent records pertaining to major gifts prospect pipeline, ensuring that constituent data and all action items are up-to-date and accurate.
  • Updates and ensures accurate donor information is maintained in Salesforce database.
  • Provides accurate, detailed pipeline reports, key metrics and other reports as required.
  • Works with Finance team to reconcile gifts and ensure accuracy with fund designations, gift coding and appeal codes.
Donor Recognition, Stewardship and Events
  • Supports the Manager, Donor Relations to liaise with Finance, Marcomm, and Programs teams to collect accurate and relevant information for proposals and stewardship reports.
  • Supports the development of administrative documentation, gift agreements, pledge reminders, gift processing forms, thank you letters and coordination of stewardship activities.
  • Supports the Manager, Donor Relations, in tracking the named spaces inventory and installations at the Blusson Spinal Cord Centre and determines the best naming opportunities for inclusion in proposals, gift agreements. 
  • Manages donor listings, including those for the donor wall, website and annual report.
  • Coordinates and participates in major gifts cultivation and recognition events, including drafting event outlines, managing guest list and invitation process, overseeing event budget, preparing post event reports and follow-up.
  • Remains abreast of industry best practices through participation in peer groups and professional development.
Research
  • Provides detailed, in-depth proactive and reactive prospect research on individuals, companies, and foundations to the Major Gifts and Community Giving teams, using industry-standard best practices for research.
  • Prepares briefing notes, backgrounders, and profiles for cultivation and stewardship.
  • Identifies mid-level and major gift prospects and analyzes their prospect potential, affiliations, personal interests, giving capacity, and philanthropic inclination to support the Foundation’s priorities.
Other
  • Assists with Community Giving donation processing during holiday campaign in November and December.
Performs other related duties in keeping with the purpose and accountabilities of the position.

QUALIFICATIONS

An equivalent combination of education, experience and skills/behaviours will be considered.

Education: Marketing and Communications, Fundraising Management, or related field.

Certification/Designations: none

Experience/Knowledge
  • Minimum three (3) years of progressively responsible fundraising experience.
  • Experience using Salesforce, or other CRM and donor management system.
  • Experience with prospect research and profiling.
  • Solid knowledge of Microsoft Office software (Word, Excel, PowerPoint and Outlook).
  • Working knowledge of best practices in stewardship, gift agreements, and donor relations.
  • Commitment to and understanding of the principles of equity, diversity and inclusion.
Skills/Behaviours
  • Effective donor relations skills, with a keen sense of diplomacy.
  • High level of communication skills, both written and oral, in order to collaborate with various Foundation staff and external partners.
  • High attention to detail and analytical skills, with an interest in process improvement.
