Salary Range:  $45,682 - $57,112

About the Role

The Coordinator, Major Gifts provides administrative support to frontline fundraisers and is a key member of the Major Giving team.  The incumbent will assist in the coordination and administration of major gifts-related activities. Competencies include time-management, attention to detail, working collaboratively as part of a team as well as working independently with minimum supervision. Excellent interpersonal and communication skills are essential as the incumbent will liaise with external and internal stakeholders, senior leaders at UHN, medical staff, and volunteers.


Provide administrative support to multiple frontline fundraisers:

  • Coordinate internal and external meetings, including: scheduling, room booking, AV and catering requirements, agenda and minute recording
  • Draft outgoing communications such as thank-you letters, pledge reminders, and meeting confirmations
  • Prepare mailings
  • Provide ongoing maintenance of CRM database to keep donor information current and accurate, according to Departmental standards
  • Compile basic statistical, financial and other data to generate and prepare reports, mail merges and other documentation
  • Index, organize, archive and purge information following established policies and procedures
  • Liaise with Business Operations personnel to ensure gift receipting is conducted properly and in a timely fashion
  • Provide input and analysis for complex donors/donations matters
  • Update calendars, prepare expense forms, cheque requisitions and other documentation
  • Gather signatures and approval for donor agreements and other business procedures
  • Assist in planning and executing team-driven events

Serve as a key member of the Major and Estate Giving Team:

  • Collaborate with and support colleagues to achieve departmental fundraising goals
  • Liaise with Customer and Business Operations, Finance, and other Foundation teams to ensure accuracy related to gifts and Funds, and to either seek or provide donor or departmental information
  • Develop networks with the medical and research staff of Princess Margaret Cancer Centre
  • Take responsibility for identifying administrative challenges and opportunities and develop and implements systems to address these issues
  • Assist in on-boarding new hires to the Team

Perform other duties as required:

  • Attend and assist at events as required
  • Provide support to colleagues from other teams as required to achieve the PMCF’s overall goals.

 

What you Bring

  • Completion of a university or college program, certification, or equivalent practical involvement in fields such as Business Administration, Social Sciences, Project Management, or related areas;
  • Two (2) years related experience in an Administrative or Coordinator role
  • Computer literacy: Microsoft Office (Word, Excel and PowerPoint), database software/ spreadsheet programs, and Mail Chimp; familiarity and aptitude with the Blackbaud CRM donor database is a significant asset
  • Evidence of leadership, strategic thinking, and initiative, diplomacy and curiosity
  • Demonstrated project management skills and ability to manage multiple projects over varying timelines
  • Experience working in a complex healthcare or not-for-profit environment an asset
  • Commitment to making a meaningful contribution to cancer care and research as part of a team
  • Deadline and results oriented, with excellent attention to detail and accuracy
  • Exceptional relationship-building skills
  • Exceptional written and oral communications skills
  • Strong organizational, time management and analytical skills
