WHO YOU ARE

You are a curious and humble operations star, eager to apply your expertise of team and project management in technology services, professional services or consulting to enable and empower Grantbook’s team of 20+ consultants to flourish in their work. While you keep a keen eye on staffing timeliness, utilization, forecasting accuracy, your key metrics will be team satisfaction and ultimately, delighted philanthropy clients who are better able to make their positive impact on the world. 

WHAT YOU’LL DO

This full time role at Grantbook will continuously improve resource management processes and functions to enable Grantbook’s impressive team of whip smart techies and do-gooders to meet the growing philanthropy technology needs of grantmakers around the world. Reporting to Grantbook’s Vice President of Finance and Administration, and working closely with the leadership team, you will build out and manage our skills inventory, manage forecasting and capacity planning, project staffing, skills development and sourcing, supply and demand planning and employee engagement.  

YOUR PRIMARY RESPONSIBILITIES:

  • Refine and then champion and lead Grantbook’s resource management function.

  • Ensure an effective and efficient balance of supply (awesome team members) with demand (sales & delivery) .

  • Work across the team to ensure workload balancing, prioritization, team member scheduling, and integration of team members into multiple projects in order to maintain optimal utilization  

  • Using data and regular check-ins with consultants, remove blockers, monitor workload balance, watch for burnout risks, assess team dynamics, elevate project or team risks to Director, Delivery and VP, Professional Services

  • Support finance month end activities by locking and approving monthly hours (internal and contractors)

  • Communicate with contractors to ensure timely submission of invoices

  • Assist finance team with data, insights and analytics on incurred or expected project overages

  • Lead monthly project health review meeting by leveraging data insights on analytics on project trends 

  • Assist with population of key RM metrics in Grantbook’s scorecard

  • Compile and analyze resource management reports providing interpretation of forecasted team member supply and demand, and recommending actions (hiring, training) 

  • Identify and coordinate the introduction and implementation of new Resource Management tools, infrastructure, and processes  

  • Work with Team & Culture Lead and Leadership team to identify skills requirements and a skills profile to drive hiring, onboarding, training and development plans

  • Work with Team and Culture Lead to support recruiting efforts through screening candidates, coordinating interviews and communicating decisions.

  • Collaborate closely with Sales Operations Lead to align projects in pipeline with available consultants who have the skills and expertise to excel in the work

  • Create and manage relationships with partners (vendors, other consultancies, subcontractors) who can provide additional staffing resources when needed for additional capacity or expertise

  • Conduct research to identify gaps and challenges in resourcing and alternate staffing solutions and/or alternate processes for improvement 

  • Above all, lead by example to foster Grantbook’s open, innovative, and collaborative culture; continuing to make Grantbook a great place to work

WHAT YOU CAN OFFER

  • 2-3 years work experience in resource management or related field; consulting or technology consulting experience highly preferred 

  • History of working in Information Technology, IT Services OR Consulting, Professional Services industry

  • Knowledge of the various roles required for successful implementation projects

  • Data insights mindset to drive key observations and trends to action and risk mitigation

  • Skilled in project management, capacity management, resource allocation, forecasting and reporting

  • Familiarity with Professional Services Automation tools, Resource automation systems and software, and forecasting processes and tools 

  • Highly skilled in use of spreadsheet tools e.g. Excel/Google Sheets and project management tools (Asana, Harvest, Forecast)

  • Experience building out a skills inventory

  • Exceptional communication, collaboration, influencing and analytical skills 

NICE-TO-HAVES:

  • RMCP (Resource Management Certified Professional) Certification

  • Experience selecting and implementing/rolling out a Professional Services Automation (PSA) tool

HOW YOU’LL BENEFIT

SALARY

Grantbook has a transparent salary structure with 6 levels, from A through F. We are looking for skilled and experienced candidates at Level C, with a starting annual salary of $75,200.00 plus profit sharing. During your interview process, we’ll learn more about your skills and experience and determine your starting salary based on what you bring to the team.

We take pay equity at Grantbook very seriously and strive to ensure everyone on our team is accurately and fairly compensated for their work. This means someone who is less comfortable negotiating a higher salary won’t be financially penalized compared to someone who readily argues for higher pay. Our salary bands are tied to similar roles in the market. We scan similar organizations—size, sector, culture— with the goal to provide competitive compensation. Each level reflects a stage of progress at Grantbook defined by expected experience and skills for that level. 

PROFIT SHARING

In addition to base pay, all Grantbook team members will enjoy a bonus—an equal share of a dedicated portion of profits set aside to reward the whole team for exceptional performance on our impact goals.
