About the Event Logistics Lead Role: 

Reporting to the Director of Training and Skills Development, the Event Logistics Lead works closely with the full VFC team to deliver inclusive, informed, and joyful in-person and virtual experiences for all of Venture for Canada. The Lead will oversee coordination of each event from start to finish.

Specifically, the Lead will be responsible for: work plan, documentation, and data management; staff coordination; technical set up; vendor relationships; registration management; and event reporting. You’ll do everything from setting up the cross-team work plan to ensuring VFC leaves spaces the way we found them. This role will be a key part of our new events team with ample opportunities for growth and development.

The ideal candidate loves to bring people together by operating behind the scenes. They’re comfortable in uncertainty, with trying something new, and solving last-minute problems with a level head. We’re seeking a candidate who can both build new organizational systems for event management and create positive and productive collaborative relationships across the VFC team. 

VFC offers events virtually and in-person and in both official languages. This role will require evening and occasional weekend work, with weekly events taking place between 4PM-8PM Eastern. VFC encourages candidates to manage their time toward deliverables.

Role Responsibilities

  • Support the VFC Team to deliver entrepreneurial curriculum and community building activities in a virtual environment, including:
    • Managing participant communication prior to and during events;
    • Providing trainers and speakers with technology support as required;
    • Ensuring virtual accessibility tools are communicated and in use;
    • Consulting on event agendas and use of technology; 
    • Coordinating support from the VFC Tech Team as required; and
    • Upskilling the VFC Training Team in the use of virtual event technology.
  • Manage the full suite of event logistics and coordination for all VFC events, including:
    • Articulating and managing event work plans; event documentation; and data management;
    • Recommending the appropriate technical solution and/or tools for event hosting and stakeholder communication;
    • Identifying appropriate third-party vendors and managing vendor relationships;
    • Tracking attendance data, analyzing trends and reporting on attendance insights;
    • Consulting on event processes, including participant communication; 
    • Managing onsite events from start to finish; and
    • Supporting Event Leads to analyze event evaluation as required.
  • Manage events evaluation process including debriefs, success measurement and cross-team feedback for in-person and virtual events;
  • Lead and support events that occur on occasional weekends (2-3 times per year) and weekly between 4-8PM Eastern Time (up to 2 per week);
  • Facilitate the involvement of external stakeholders by issuing invitations and providing relevant support as needed; and
  • Organize and track updates to VFC’s event stakeholder information in Hubspot.

Venture for Canada is committed to providing equal pay for equal work with salaries in line with industry standards. The salary for this position is $53,000-$58,000.
