About this position

Canada has one of the highest rates of multiple sclerosis in the world, making MS Canada’s disease. The MS Society of Canada is the country’s leading MS advocate, funding leading research in MS and programs & services that help people live well with the disease.

Reporting to the Director, Special Projects, the Coordinator, Volunteer and Community Engagement is responsible for the implementation of the volunteer engagement plan for Coastal Regional Chapter – Vancouver Island. The coordinator will provide essential support to the Coastal Regional Chapter team in the areas of volunteer/community engagement in both fundraising and programs and services. The coordinator will work closely with the fund development team to determine best support for signature fundraising events like the MS Walks and MS Bikes. The coordinator will also work closely with the Programs and Services team to grow the volunteer base for the friendly visitor and self -help group programming.

This position is a position of trust. The incumbent will be required to complete the screening process including completion of appropriate background checks in compliance with the National Screening Measures Policy.

Responsibilities:

Customer Service

  • May act as point of first contact for members, clients, sponsors, donors, event participants, and volunteers who contact the office by phone, in person, and through the chapter email address.
Volunteer Engagement
  • With support, implement the volunteer engagement strategy for Vancouver Island that is in-line with the BC and Yukon Division
  • Coordinate volunteer recruitment and hiring process by creating position descriptions, advertising and promoting opportunities, interviewing, matching with appropriate roles and often providing orientation, onboarding and support.
  • A large portion of the role will focus on volunteer engagement for MSS signature fundraising events such as the MS Walk and MS Bike, the Ambassador program and program and services such as the friendly visitor program. The coordinator will collaborate with MSS departments to ensure that events and programs are well supported by volunteers.
  • Develop, promote and maintain a wide range of volunteer opportunities within the organization
  • Provide orientation materials and ongoing support and guidance for volunteers
  • Cultivate a positive and supportive atmosphere by recognizing volunteer efforts, assisting volunteers with their endeavours and evaluating the volunteer experience
  • Schedule volunteer activities in collaboration with MSS staff
  • Organize and participate in volunteer recognition programs and special events
  • Evaluate all aspects of volunteer program to ensure effectiveness and recommend changes if appropriate
  • Attend volunteer recruiting events within the community and identify community outreach opportunities such as fairs and festivals.
  • Develop and maintain relations with other volunteer organizations
  • Provide input to the volunteer impact newsletter
  • Survey staff regularly to assess needs for volunteer assistance
  • Manage volunteer policies, procedures and standards of volunteer service
  • Maintain database of volunteers and projects
Community Engagement
  • Works with MSS staff to provides relevant information to external groups.
  • Communicates and builds relationships with community partners, donors, volunteers, sponsors and suppliers

Other Duties and Responsibilities
  • Develops and maintains basic knowledge about multiple sclerosis and MS research as well as chapter activities, including fund development, programs and services, government and community relations and public education activities.
  • Supports organization of Chapter events and activities, public education, recognition events as directed. Attends these events as requested.
  • Promote the MS Society mission.
  • Attends professional development activities as opportunities and funding permits
  • Liaises with staff at other chapters, the BC Division and national offices as necessary.
  • Maintains records of activities, expenses and time sheets, and submit as required.
  • Supports Chapter administration by reporting unmet needs and risks.
  • In the absence of other staff, assumes responsibility for opening Chapter office during office hours.
  • Other duties or projects as assigned
Supervisory Responsibility:
  • Will provide support and direction to volunteers

Qualifications:
  • University Degree or College Diploma with at least 1-2 years’ experience in communications, administration or fundraising within a not-for-profit environment, or the equivalent education and experience
  • A valid driver’s licence and access to a reliable vehicle is required
  • Previous experience working with volunteers an asset.
  • Excellent interpersonal skills.
  • Ability to deal sensitively and appropriately with a variety of people in person and on the telephone.
  • Proficient computer skills: Word, Excel, database systems, internet, e-mail, PowerPoint.
  • Excellent verbal communication skills in person and on the phone; clear and concise written communication.
  • Ability to problem solve and be resourceful.
  • Ability to be flexible and adaptable.
  • Excellent organizational and time management skills; detail oriented.
  • Ability to prioritize and multi-task items with conflicting deadlines at various stages of completion.
  • Able to work independently with minimal supervision as well as collaboratively as a member of a team.
  • Special Considerations:
  • This position requires occasional travel throughout British Columbia.
  • Ability to travel is mandatory.
  • Occasional evening and weekend work will be required.
  • Ability to be on your feet for 8 hours and lift event equipment and supplies as necessary.
  • Constraints of weather elements at sites during special events.
