Finance and Collection Analyst - Circle Community Land Trust

About Circle Community LandTrust: Circle is a non-profit organization founded to protect and invest in some of Toronto's last affordable family-sized homes. In June 2021, the City of Toronto chose Circle as the successful proponent to own and manage 561 houses transferred from Toronto Community Housing Corporation. For tenants, the benefits will be improved services and well-maintained homes. For Toronto, the benefits are the preservation and regeneration of hundreds of affordable houses – houses that would be impossible to replace in today's market – in mixed-income neighbourhoods. Beginning in April 2022, Circle will begin to complete the purchase of the houses, bring them to a good state of repair, and keep them affordable. Governed by a volunteer Board of Directors comprised of leaders in the social housing sector, Circle has a vision of quality, family-sized, perpetually affordable homes in inclusive communities to serve today's tenants and future generations.

The Role

The role is pivotal for helping the Finance team achieve the critical work of the Circle's mission and vision. This is a role for a talented General Accountant, a problem-solver with lots of initiative and a great sense of humour.

The Finance and Collections Analyst plays an essential role in the Circle Community LandTrust. The incumbent works collaboratively with the team members and reports to the Director of Finance.

Key Responsibilities

  • Ensures accuracy by validating the system’s information with the tenant services records.
  • Setup PAP payments for accounts receivable and payable, including manual cheques and electronic fees through the accounting system. (Yardi)
  • Ensures that electronic payments are processed and transmitted accurately and adequately controlled, including solving errors.
  • Reconciles the accounts receivable ledger at month-end and prepares adjustments to the accounts receivable system to ensure that the information is accurate and always up to date.
  • Generates monthly AR aging and follows up with tenants in collecting the unpaid rent.
  • Works collaboratively with accounts payable and other accounting staff to ensure accuracy in month-end reporting.
  • Assist Accounts Payable associate in EFT and other payments
  • Assist Accounts Receivable associate in applying rent – online payments
  • Prepares monthly bank reconciliations
  • Prepares monthly Balance Sheet accounts reconciliation.
  • Post month-end GL entries and amortization schedule.
  • Processes Organization-wide donations and Government Grant entries, ensuring accurate account coding and allocations
  • Prepares ad-hoc reports and month-end reconciliations as needed.

Qualifications, Skills and Experience

  • Knowledge in the accounting field acquired through completion of a community college diploma (e.g., Accounting Diploma) 
  • 3-5 years directly related to Accounts Receivable and month-end process work experience.
  • Experience working within a community housing, the not-for-profit environment is an asset.
  • A keen understanding of and commitment to customer service, AR collections, and the month-end process is essential.
  • Solid and proficient computer skills are required, including knowledge of Excel, Word and accounting software and adapting to emerging technologies. (Yardi and Microsoft Dynamics)
  • Ability to work both independently and as part of a team.
  • Demonstrated organizational skills to cope effectively with multiple competing demands priorities and meet deadlines.
  • Excellent attention to detail.
  • Strong analytical, interpretive and problem-solving skills.
  • Excellent communication (verbal and written) and interpersonal skills are required.
  • Ability to respond to situations using practical judgement.
  • Ability to focus and concentrate on critical tasks to meet established deadlines.
  • Knowledge of culturally diverse communities and working well with people from diverse backgrounds.
